What should a humidifier RFQ include?

An RFQ should state the product type and technology, the target performance such as output and rated power, tank capacity, materials and finish, the market and compliance target, the packaging and branding plan, the order quantity with a forecast, the delivery destination with an incoterm, and the commercial terms you will accept. A drawing or reference photo supports the brief, but the field list is what makes two quotations comparable.

Why do humidifier quotations come back incomparable?

Because the RFQ left fields open, so each supplier filled the gaps with its own assumption. One quotes an ultrasonic unit with a small tank, another an evaporative tower with a wick filter, a third FOB while the buyer assumed delivered. The fix is not more suppliers but a tighter brief. A required field only counts as a requirement if the buyer has been explicit and will not accept a substitution without a written change.

Should a humidifier RFQ name a compliance target?

Yes. Naming the target market and intended channels lets the supplier price the compliance file correctly — the safety listing, radio authorization for wireless models, and any efficiency or materials documentation the channel requires. An RFQ that omits compliance gets a price for an unlisted product, and the listing cost then appears later as an uncomfortable change order and a schedule slip.

How should performance fields be specified?

Name the parameter, the value, and the condition under which it is measured. Mist or evaporation output at a stated room condition, noise at a distance and background level, runtime against a stated setting, power draw per mode, and a coverage claim with its assumption. Then tag each field as verified, to be verified, or unknown, so an unknown cannot quietly become a specification once the purchase order is signed.

How should commercial fields be handled in the RFQ?

State the first order and the forecast, the named incoterm and delivery point, the expected lead time, the payment terms, and the change-control clause. Add the acceptance basis — what the supplier must provide at handover, such as a first-article report, an approval sample, or a compliance file. A quotation with a defined handover deliverable is a program; one without it is a price.

How should the RFQ be distributed to suppliers?

Send one structured document to every supplier, with the same field list and the same required response format, so answers can be compared line by line. Require written exceptions rather than silent substitutions, and keep a single version of the brief so no supplier is working from a stale specification. Comparing like with like is what turns supplier selection into a decision rather than a guessing game.
